Job Responsibilities:

General Description:

This position provides complete receptionist coverage of the front lobby area and performs administrative support duties.

Specific Responsibilities of the Job:

  • Answers telephone professionally, takes complete messages or relays calls efficiently to staff.
  • Provides basic I & R services while routing more complicated requests to Intake.
  • Receives guests and announces them to appropriate staff.
  • Creation and maintenance of outgoing voice mail message for scheduled Agency closing, emergency closing and early closing.
  • Coordination with bilingual staff for changes in telephone messaging or needed translation with callers or visitors.
  • Maintains staff sign-in sheets and ensures appropriate dated sheets are available at the sign-in locations.
  • Receives, sorts and distributes incoming mail.Sorts, stamps and delivers outgoing mail to post office daily.
  • Maintains an organized supply room, maintains adequate inventory of required supplies and coordinates all supply requisitions and orders.
  • Interacts with building maintenance personnel and with office vendors including copier maintenance, as needed by Human Resource manager.
  • Trains paid and non-paid personnel for back-up phone coverage.
  • Maintains strict confidentiality of staff and client information whether verbal or written.
  • Assist with new employee orientation package and supplies and employee and supervisor manuals.
  • Other duties as assigned.
  • Provides direct support during Agency-wide mailings and distributes returned to sender mail to the appropriated department.

Required Knowledge, Skills and Abilities:

Job Requirements:

  • Excellent verbal communication skills
  • Proficiency in Word, Excel, Outlook, and internet.
  • Ability to work effectively with diverse groups and individuals.
  • Ability to be flexible and multi-task.
  • Must be able to lift 50 pounds.

Education and Experience:

  • High school diploma or G. E. D.
  • Minimum 2-3 years experience in receptionist or administrative tasks.
  • Bilingual preferred
